WEDDING RSVP

Terms and Conditions

By submitting your RSVP, you enter into a binding agreement to attend our wedding and accept the following terms and conditions:

1. Binding Confirmation
Acceptance of this invitation constitutes a binding commitment to attend. Confirmed guest numbers are used to enter into legally binding contracts with the venue and suppliers.

2. Final Numbers and Deadline
All RSVPs must be received by 01 May 2026. Final guest numbers will be submitted on or shortly after this date. Following submission, all associated costs become fixed and non-refundable.

3. Cancellation
If you are unable to attend after confirming your RSVP, you must notify us as soon as reasonably practicable. Cancellations received after 01 May 2026 will result in your place being chargeable where the place is not reasonably replaced by another guest.

4. Non-Attendance
If you confirm attendance and do not attend, you are liable for the costs of your place unless clause 6 applies.

5. Liability for Costs
You are liable to reimburse all reasonable and proportionate costs incurred in respect of your attendance. These costs reflect the per-guest charges applied by the venue and suppliers and constitute a genuine pre-estimate of loss, not a penalty.

The applicable costs per guest are:
- First 30-day guests: £175 per person
- Additional day guests (beyond the first 30): £147 per person
- Children: £98 per person
- Evening guests: £45 per person

For the avoidance of doubt:
- Day guest pricing includes food and allocated drinks vouchers.
- Evening guest pricing includes food and a drinks voucher.
- These amounts reflect only variable per-head costs. Fixed costs, including venue hire and entertainment, are excluded as they are payable regardless of attendance.

The applicable charge is determined by guest category at the time of RSVP. A breakdown of costs will be provided upon request.

6. Exceptional Circumstances (Limited Exemptions)
Liability for costs is waived only where non-attendance is solely due to circumstances outside your reasonable control, limited to:
a) Death of a member of your immediate family occurring within a reasonable period prior to the event;
b) Serious illness or injury preventing attendance, supported by medical evidence;
c) War, terrorism, or government-imposed restrictions preventing travel or attendance;
d) Force majeure events, including natural disasters, extreme weather, or severe and unavoidable travel disruption.

7. Evidence Requirement
Appropriate evidence must be provided in support of any claim under clause 6. Failure to provide such evidence results in the costs remaining payable.

8. Exclusion of Other Reasons
Personal inconvenience, change of plans, work commitments, travel costs, or minor illness do not constitute exceptional circumstances.

9. Guest Attendance
RSVPs are non-transferable. Attendance is limited to the individual(s) named on the invitation. Substitution or addition of guests without prior written consent is not permitted.

10. Unauthorised Additional Guests
If a confirmed guest invites or permits an additional person to attend without prior written consent, that guest is liable for all costs associated with the additional person’s attendance. Such costs are calculated in accordance with clause 5.

Unauthorised guests may be refused entry. Admission does not remove liability for associated costs.

11. Children
Attendance by children is limited to those specifically named on the invitation. Additional children are not permitted without prior agreement.

12. Dietary Requirements and Allergies
Guests must provide all dietary requirements and allergies at the time of RSVP. This information will be provided to the venue and caterers.

Liability for any issue arising from dietary requirements rests with the venue and catering provider where it is demonstrated that the information provided by the guest was accurately communicated.

13. Guest Conduct and Liability for Damage
Guests must behave in a respectful and appropriate manner at all times. Any guest whose behaviour is inappropriate, unsafe, or disruptive may be required to leave.
Guests are liable for any loss or damage caused by their actions (whether negligent, reckless, or deliberate) to the venue, property, or equipment. You agree to reimburse all reasonable costs incurred where liability is imposed by the venue or suppliers.
No refund or waiver of costs applies in such circumstances.

14. Photography and Media
Photographs and video recordings will be taken during the event. By attending, you consent to being included in such content, which may be shared privately or on personal social media unless you notify us otherwise in advance.

15. Photography and Social Media Restrictions
Photographs or videos of the wedding must not be posted or shared on social media or any public platform until confirmation has been given that official wedding photographs have been received.
Any breach requires immediate removal of the content. Where a breach results in demonstrable loss, liability arises for all reasonable and proportionate costs incurred.

16. Event Changes or Cancellation
Changes to the event, including venue, timing, or format, may be made where necessary. In the event of cancellation or postponement, notification will be provided as soon as reasonably practicable.
No liability is accepted for any personal costs incurred by guests, including travel or accommodation.

17. Travel and Accommodation
Guests are responsible for arranging and covering the cost of their own travel and accommodation. No liability is accepted for any associated expenses or losses.

18. Privacy and Data Protection
Personal data will be processed in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Personal data, including name, contact details, RSVP status, and dietary requirements, is collected solely for the purpose of organising and managing the wedding. This data is shared with the venue, caterers, and relevant suppliers where necessary. Personal data is retained only for as long as necessary and is deleted within 3 months after the wedding date, unless retention is required for legal or administrative purposes.

You have the right to request access to, correction of, or deletion of your personal data. Requests must be directed to either one or both of the couples email, stating your personal data request to be made:

19. Governing Law
These terms and conditions are governed by the laws of England and Wales.
